Lone Oak Creek Homeowners’ Association Minutes
May 15, 2023
1. The meeting was called to order at 7:35 PM.
2. Quorum was certified. Board members present were Barbara Rhoades, Debbie Hill, Stacy Moorhead, Adam Jeppson, Adam Shahan, and Mary Bohn.
3. Minutes from the prior meeting were approved.
4. Treasurer’s Report
a. Two homeowner dues are still unpaid and will be turned over to the attorney (Debbie).
5. Ad Hoc Committee Reports – none at this time
6. Old Business
a. Repair to the brick wall along Lone Oak Drive has been completed. Debbie will coordinate with the contractor to have the pallets behind the wall removed and to get the final invoice.
b. A section of the brick wall near the entrance, which was excluded from the original bid, requires further investigation and the contractor believes that the footings for that section may not have been sufficient. (Mary – quote in progress, delayed as the brick contractor looks for someone who can work on the footings)
c. The decorative skirting of the street light at the corner of Creek Heights and NW 156th is falling apart, and also at NW 159th. (Barbara – a work order is open with OG&E)
d. Three homeowners who provided water for the brick wall repairs will be compensated for their additional water usage with $50 gift cards. (Debbie – complete)
e. The bases of our street signs may need to be painted. Matt Cook, who painted the playground equipment and gates, provided a quote of $500 to paint our 15 stop and street signs. However, Barbara painted part of a sign with Rustoleum as a test, and the Board decided that we will paint the bases of the signs ourselves.
f. JMac tested all the sprinklers in our common areas and will make repairs in the order listed in the prior month’s minutes. He will notify Debbie as repairs are made and will bill us once all are completed.
g. Our liability insurance, currently with State Farm, is due for renewal in June. (Barbara is working with several companies, who have quotes in progress.)
h. Gate maintenance and contract was discussed. There are not many companies that provide maintenance, and it is further limited due to the specific equipment we have. The contract has not gone up much over the years, so we agreed to remain with PSI.
i. Initiate automatic payment of the water bills (Debbie – in progress)
j. The sprinklers are turned on at the entrance and we are ready for annuals. Barbara and Mary purchased plants, and they were planted the next day. (complete)
k. Discuss concerns regarding kids jumping off the bridge into the creek.
i. A statement that kids should not jump off the bridge or get into the creek water was placed on Facebook and the HOA website (Barbara, Mary – complete)
ii. Barbara spoke with our State Farm insurance agent, and he did not see this as a liability for the HOA. He agreed that we should update the sign on our common area at the creek to include “no swimming”, but advised against a sign on the bridge because we don’t own the bridge.
iii. A revised sign for the creek common area has been ordered (Debbie)
7. New Business
a. Yard of the month selections will resume in June.
b. When we send yard maintenance non-compliance letters to the owners of leased homes, we will suggest that the owner hires a lawn service.
c. Barbara has asked LPs to spray the weeds in the pavement cracks at the entrance.
8. Date and time of the next meeting
a. The next meeting will be held on Monday, June 12th, at 7:00 PM. We will also do a neighborhood walk-around at that time.
