Lone Oak Creek Homeowners’ Association Minutes

March 6, 2023


1. The meeting was called to order at 7:03 PM.

2. Quorum was certified. Board members present were Barbara Rhoades, Debbie Hill, Stacy Moorhead, and Mary Bohn.

3. Minutes from the prior meeting were approved.

4. Treasurer’s Report

a. Eight homeowner dues remain outstanding, plus a corporate balance due of $70. Debbie has sent statements to these homeowners. If unpaid by April 1st, the dues will be turned over to the attorney for collection.

5. Ad Hoc Committee Reports – none at this time

6. Old Business

a. Repair to the brick wall along Lone Oak Drive began on 10/29/22 and will continue as long as the weather permits. Completion is expected soon.

b. A section of the brick wall near the entrance, which was excluded from the original bid, requires further investigation. Damage to the sidewalk in that area leads the contractor to believe that the footings for that section may not have been sufficient, but further investigation is needed. (Mary - a bid for this work is being prepared)

c. The decorative skirting of the street light at the corner of Creek Heights and NW 156th is falling apart. (Stacy contacted OG&E and reported that they taped around the skirting. Barbara has a contact at OG&E who may be able to help us determine whether OG&E or Oklahoma City is responsible for the skirting)

d. A fence panel needs to be repaired or replaced in the common area of NW 157th and Creek Heights Dr. (Adam J – repair completed, Adam will give Debbie his receipts for the work)

e. Homeowners who provided water for the brick wall repairs will be compensated for their additional water usage. (Mary will determine how Lone Oak Run handled the compensation)

f. The bases of our street signs may need to be painted. (Mary will contact Matt Cook for an estimate. Matt painted the playground equipment and gate in 2022)

g. Landscaping bids are needed for 2023.

i. Barbara provided bids from Absolute Lawn, LPs Landscaping, and Steve’s Landscaping. After discussion of the bids, Barbara took an action to clarify with LPs the items they marked as being billed separately.

ii. Following clarification with LPs, Barbara provided the revised quotes via the Board’s group text, and the Board voted to continue with LPs Landscaping. Barbara will notify LPs.

h. The Lone Oak Creek sign is loose at the south side of the entrance. (Mary will contact the brick repair company – repair completed)

i. The sprinklers will need to be restarted and tested in early March. (Debbie – Jmac is getting us on the schedule for March. Debbie will ask that he take a close look at the sprinklers on the Creek Heights corner, which did not seem to be getting enough water last summer)

j. Our liability insurance, currently with State Farm, is due for renewal in June. (Debbie will send a copy of the policy to Barbara, who will price alternatives)

k. Gate maintenance and contract was discussed. There are not many companies that provide maintenance, and it is further limited due to the specific equipment we have. (Debbie will look for the original contract and provide a copy to Barbara)

7. New Business

a. Send letters to two homeowners on NW 157th and NW 159th who still have up Christmas decorations, requesting that they be taken down. (Mary)

b. Initiate automatic payment of the water bills (Debbie, with Barbara if needed)

c. There are loose boards on the fence inside the playground and the gate won’t close (Adam J. will investigate)

8. Date and time of the next meeting – April 3rd at 7:00 PM at Mary’s house.
