Lone Oak Creek Homeowners’ Association Minutes

December 2, 2024

 

1.     The meeting was called to order at 7:02 PM.

2.     Quorum was certified.  Board members present were Brandon Jackson, Keith Hill,

Debbie Hill, Stacy Moorhead, Jingying Zhou, and Mary Bohn.  Also present were

Emily Tatro, Judi Startzman, and Rushali Kale.

3.     Minutes from the prior meeting were approved.

4.     Treasurer’s report

a.      Expenses were utilities; semi-annual insurance costs are coming up soon.

5.     Ad Hoc Committee Reports – none at this time

6.     Old Business

a.      Effort to revise the covenants regarding rental properties:

          i.      Current actions:

1.     The info/voting meeting with Mr. Winton, our HOA attorney,

will be held on 12/3/24 at Francis Tuttle on NW 150th and

Portland Ave (this is the final day for signatures).

2.     Brandon will send an email on the morning of 12/3 reminding

homeowners of the meeting (complete)

                       ii.     The amendment will require 60% approval of homeowners, which is

59 lots out of 97.  All owners at an address must sign and the

signatures must be notarized.

b.     Sprinklers

          i.     JMac has already winterized the sprinklers.

                      ii.     Debbie will ask JMac to provide an estimate of additional work needing

to be done.

7.     New Business

a.      2025 Planning

                    i.     Review the proposed budget for 2025 to confirm that the dues will stay the

same.  (complete – dues will remain the same)

                   ii.     Determine date for annual homeowner meeting – January 23rd, 2025. 

Mary will reserve a room at Francis Tuttle, and add the meeting

information on the HOA website.

                  iii.     Determine date for stuffing envelopes with invoices and annual meeting

notifications – Monday, 1/6/25, at 7:00 PM at Mary’s house.

b.     Brandon will email Debbie the information on the IRS website to register an LLC. 

This has a required completion date.

c.      Debbie will check with the HOA’s bank to determine how to set up the option for

electronic payment of annual dues.

d.     Brandon will get an estimate for a sign at the entrance with the HOA email

address and web site.

8.     Date and time of the next meeting – there will not be a January Board meeting.
