Lone Oak Creek Homeowners’ Association Minutes
December 4, 2023
1. The meeting was called to order at 7:08 PM.
2. Quorum was certified. Board members present were Barbara Rhoades, Debbie Hill, Stacy Moorhead, Adam Jeppson, and Mary Bohn.
3. Minutes from the prior meeting were approved.
4. Treasurer’s Report
a. This month’s expenditures include $341 to PSI for gate repairs. JMAC is in the process of winterizing the sprinkler systems and will send an invoice. Utility bills for year-end are expected.
5. Ad Hoc Committee Reports – none at this time
6. Old Business
a. Repair to the brick wall along Lone Oak Drive has been completed.
i. The final invoice is larger than expected. A meeting was held with the contractor and he will provide detail for the cost overage. Costs exceeding the original contract will be paid in 2024. (Barbara emailed the contractor three times with no response, and will try a phone call.)
b. A section of the brick wall near the entrance, which was excluded from the original bid, requires further investigation and the contractor believes that the footings for that section may not have been sufficient. ((Mary – on hold, bids will be requested early in 2024. When we have identified a contractor, the Sweiger family will need to be notified that access is needed to the back of the wall in their yard.)
c. Initiate automatic payment of the water bills (Barbara – in progress. Barbara submitted an online request but was told that it needed to be done in person.)
d. Due to the cost of having our landscaper provide mulch for the playground, the Board agreed to purchase the mulch from Lowe’s, which will be substantially cheaper. We will then spread it ourselves (on hold until 2024)
e. The bases of our street signs may need to be painted. Due to the price quoted by the person who did prior painting, the Board decided to paint the signs ourselves. (on hold)
f. The next yard of the month will be next summer. Mary will change the background picture on the HOA website (complete)
g. Debbie turned off the sprinklers. Winterization will be done by JMac in December, and he will submit an invoice for the winterization and prior repairs.
h. The street light on NW 158th and NW 157th Terrace was out. Stacy reported it to OKC and it has been repaired (complete).
7. New Business
a. Approximately $3300 in gate repairs, suggested by PSI, was approved. Stacy will inform PSI to perform the repairs.
b. The Board reviewed our 2023 actual costs and a 2024 budget, and determined that the homeowner dues would remain the same for 2024.
8. Date and time of the next meeting
a. The annual meeting will be held in person on January 25th at 7:00 PM. Adam Jeppson reserved room B2262 at the Bruce Gray Center at Francis Tuttle Technology Center, 12777 N Rockwell Ave.
b. The next Board meeting will be held January 15th at 7:00 PM at Mary’s house.
