Lone Oak Creek Homeowners’ Association Minutes

April 3, 2023


1. The meeting was called to order at 7:03 PM.

2. Quorum was certified. Board members present were Barbara Rhoades, Debbie Hill, Stacy Moorhead, Adam Jeppson, and Mary Bohn.

3. Minutes from the prior meeting were approved.

4. Treasurer’s Report

a. Four homeowner dues remain outstanding. Debbie will send a final statement to these homeowners, and if unpaid by April 15th, the dues will be turned over to the attorney for collection.

5. Ad Hoc Committee Reports – none at this time

6. Old Business

a. Repair to the brick wall along Lone Oak Drive began on 10/29/22 and nears completion.

b. A section of the brick wall near the entrance, which was excluded from the original bid, requires further investigation. Damage to the sidewalk in that area leads the contractor to believe that the footings for that section may not have been sufficient, but further investigation is needed. (Mary - a bid for this work is being prepared)

c. The decorative skirting of the street light at the corner of Creek Heights and NW 156th is falling apart, and also at NW 159th. (Barbara – a work order is open with OG&E)

d. Homeowners who provided water for the brick wall repairs will be compensated for their additional water usage. (Mary – Lone Oak Run gave a $50 gift card to their homeowners who provided water. Mary will send the list of our three homeowners to Debbie so gift cards can be sent to them)

e. The bases of our street signs may need to be painted. (Mary will contact Matt Cook for an estimate. Matt painted the playground equipment and gate in 2022. Update: Matt has not returned Mary’s calls. Mary will reach out to Katina to see if the contact information is correct)

f. Jmac tested all the sprinklers in our common areas and will make repairs in the order below. He will notify Debbie as repairs are made and will bill us once all are completed.

i. One head is stuck on the zone on Lone Oak Drive

ii. Plug with reset button needs to be repaired, replaced at 159th and Wild Creek Drive.

iii. There is a button that will not work on the controller on Creek Heights Drive. It is set for now but the controller will be replaced.

iv. Broken pipe and two damaged heads in the zone by the creek south of the addition. They will be repaired before water is turned on for those zones. We do not need to begin watering that area yet.

g. Our liability insurance, currently with State Farm, is due for renewal in June. (Debbie sent a copy of the policy to Barbara, who will price alternatives. Several companies have quotes in progress.)

h. Gate maintenance and contract was discussed. There are not many companies that provide maintenance, and it is further limited due to the specific equipment we have. (Debbie provided a copy of the contract to Barbara for review.)

i. Send letters to two homeowners on NW 157th and NW 159th who still have up Christmas decorations, requesting that they be taken down. (Mary – on hold. Next year we will consider sending information to homeowners regarding a window of time for decorations to be kept up)

j. Initiate automatic payment of the water bills (Debbie, with Barbara if needed)

k. There are loose boards on the fence inside the playground and the gate won’t close (Adam J. - repairs completed. Once fence panel will eventually need to be replaced)

7. New Business

a. We would like to plant annuals in a couple of weeks. Barbara will contact LPs to determine when they would be available, and she has a potential source for obtaining flats)

b. Barbara will contact Tara Jamali regarding her Facebook question on landscaping.

8. Date and time of the next meeting – Monday, May 8th, at 7:00 PM at Mary’s house.
