Lindsi Kerstetter called the meeting to order at 7:08 PM.
Quorum was certified. Board members present were Lindsi Kerstetter, Debbie Hill, and Mary Bohn.
Minutes from the prior meeting were approved.
Treasurer’s Report
There are still 2 homeowners with unpaid dues from 2015. The bills for HOA dues for 2016 have been mailed.
Grounds/Facilities Report
There are two issues with the gates. The first is that the phone line at the entry gate is not working due to a short in the telephone wire. Cox is working this problem. The second is a problem with the exit gate which requires the replacement of two vehicle loops at the exit bi-parting swing gates. Peripheral Systems Inc. (PSI) has been given approval to perform this work.

Old Business
Preparation for the annual meeting on January 21st:
Book venue (Kevin – done, meeting with be held January 21 at Francis Tuttle’s Portland campus.
Prepare and print annual meeting notification letters and proxy statements (Mary – done)
Prepare and print the annual dues letters, which will be included in the envelopes to the homeowners. There will be no increase in the dues for next year. (Debbie – done)
Stuff and mail envelopes to homeowners (Debbie – done)
Provide bullets regarding our lawyer’s advice on what is required to change the HOA covenants regarding the number of rental homes allowed within our community. Changing the covenants is a lot of work, and we want the homeowners’ input on whether to pursue this effort. (Lindsi - done)
Prepare agenda for annual meeting (Mary - drafted)
Kevin – provide bullets for grounds, gates, and street repair.
Street repairs
No updates regarding quotes
Compliant regarding the rented houses on 158th street owned by Coy Reed
The complaint is for weeds and yard maintenance for these two houses. Debbie sent a letter to the homeowner in June and will phone the owner. Update: Debbie was unable to get a correct phone number.
Concern regarding cars blocking the exit to Lone Oak Drive while waiting for the school buses. This is a hazard to children and to the cars trying to exit our subdivision. We agreed to post signs saying “no parking/no waiting” at the entrance of our subdivision.

Issue regarding trees not meeting the 3-inch caliper requirement
The following have not responded to non-compliance letters or do not agree with the non-compliance. Due to the transition to the 2016 Board, we will not pursue further actions at this time.
