Lone Oak Creek Homeowners’ Association Minutes

March 3, 2025

 

1.      The meeting was called to order at 7:04 PM.

2.      Quorum was certified.  Board members present were Keith Hill, Jingying Zhou,

Kelsey Sweger, and Mary Bohn.

3.      Minutes from the prior meeting were approved.

4.      Treasurer’s report

a.       There are 14 dues still remaining to be paid by the homeowners.

5.      Ad Hoc Committee Reports – none at this time

6.      Old Business

a.       Brandon will get an estimate for a sign at the entrance with the HOA email

address and web site.  (complete – the sign has been placed at the entrance).

b.      The scanning of invoices and bank statements will continue for 2025, as was

done in 2024.  Jingying will email the link to the Google document to the Board

members to confirm that we all have access.  (Jingying – ongoing)

c.       The fines process and amounts need to be determined, with recommendations

from the HOA attorney Mr. Winton.

                      i.      Board members will review the document provided by Mr. Winton for

discussion in the April Board meeting.

d.      Landscape quotes for 2025. 

                     i.      The Board voted to continue using LPs for the current year.

e.       We believe that the Damayanthy family bought the house next door to them

(15913 Creek Heights?) prior to our amendment being recorded.  If so, it would

be grandfathered if they choose to lease it.

f.        The PSI estimate to replace the exit gate loop was approved.  The exit gate will

be stuck open until this work is completed.

g.      Via the Board’s group chat, work was approved for PSI to replace the lighted

keypad and letter buttons at the entry gate since a number of them are

difficult to engage.  The faded plexiglass cover will also be replaced.

h.      Discussion as to how to track and approve rentals beyond the grandfathered

rentals.

                    i.      Mary will mark grandfathered rentals and new rentals on the master

directory spreadsheet and will maintain the list.

i.        Consider how to better gather information for tenants.

                     i.      The homeowner should provide the following information for tenants: 

names, email address, and phone numbers.

                  ii.      If we see new renters moving in, we will deactivate clickers for that

address and contact the homeowner.  Once we have the renters’

information, we will change the gate code to a new one for that renter

and reactivate the clickers.

j.        Renters have moved into the Fair home at 4620 NW 156th St.  We will deactivate

the clickers until we receive the necessary information.  Note that the gate code

will remain active so the renter and homeowner are able to enter the

neighborhood.

8.      Date and time of the next meeting – April 7th at 7:00 PM.
