Annual Meeting Minutes
January 25, 2024
1. The annual meeting was held at Francis Tuttle and called to order at 7:01.
2. Current Board members and their roles were introduced.
3. 2023 highlights
a. Extensive brick wall repair was completed, with the exception of the north side of the entrance, which requires further investigation and will require a separate bid. Damage to the sidewalk in that area indicates that the footings for that section may not have been sufficient and will need to be replaced.
b. Substantial gate maintenance was completed.
c. Sprinkler system repairs were completed.
4. Treasurer’s report
a. Debbie reviewed the full year costs for 2023 and the 2024 budget.
b. For 2024, dues remained the same as for 2023.
5. 2024 projects
a. Mulch will need to be added to the playground. We plan to buy the mulch from Lowe’s and spread it with help from the homeowners. This will save money rather than having a vendor purchase and spread the mulch.
b. Our street signs need to be painted, especially around the bases. A bid for that work in 2023 was higher than expected, so we will ask homeowners to assist the Board in painting the signs once the weather improves.
6. Owner/Board discussion
a. The condition of the flower beds at both ends of Lone Oak was discussed, especially at the south end. The south end is owned by another Lone Oak HOA, but we agreed to raise a concern at the Lone Oak Network meeting of all HOAs, suggesting that all the Lone Oak HOAs contribute a reasonable amount toward improving and maintaining the entrance to our neighborhood. The lack of irrigation to that area will contribute to the difficulty in maintaining that area.
b. There has been no further information on the Lone Oak Park, behind Wild Creek Dr.
c. Neighborhood safety was discussed briefly. The Board requested notification of any issues for which we may be able to assist.
d. Yard maintenance, especially for rental homes, was discussed. The Board will consider requesting that owners of rental homes put in place a lawn service. We will also consider other measures that might be used when a lawn is severely neglected.
e. The effort to revise our covenants was discussed, which is a very difficult process and requires legal meetings, notarized signatures, and approval of 80% of the homeowners.
f. A location to store recommended vendors was discussed. The Board could add it to the website, but it would be desirable to find a place that the homeowners could update.
g. During the discussion of the financials, Debbie reminded homeowners that they are welcome to see any invoices for payments made by the Board. We also agreed to pursue an audit of the financials.
h. The Board will email the neighborhood when assistance is needed in spreading mulch or painting street signs.

8. The Board will next meet on Monday, February 5th.
