Lone Oak Creek Homeowners’ Association Minutes

February 13, 2023


1. The meeting was called to order at 7:02 PM.

2. Quorum was certified. Board members present were Adam Jeppson, Adam Shahan, Barbara Rhoades, Debbie Hill, Stacy Moorhead, and Mary Bohn.

3. Minutes from the prior meeting were approved.

4. Treasurer’s Report

a. Approximately one-third of the dues have been collected so far.

b. Expenses this past month include brick wall repair as well as normal utility costs.

c. During the annual meeting, it was noted that landscaping costs were higher than budget due to work from 2021 that was billed in 2022. However, 2021 landscape costs were in line with budget. Answer: 2021 expenses included catch-up from the prior year. Landscape cost have been held within the approved bid each year, but year-end costs may flow into the following year.

5. Ad Hoc Committee Reports – none at this time

6. Old Business

a. Repair to the brick wall along Lone Oak Drive began on 10/29/22 and will continue as long as the weather permits. Completion is expected within a month.

b. A section of the brick wall near the entrance, which was excluded from the original bid, requires further investigation. Damage to the sidewalk in that area leads the contractor to believe that the footings for that section may not have been sufficient, but further investigation is needed. (Mary will request a bid for this work)

7. New Business

a. The decorative skirting of the street light at the corner of Creek Heights and NW 156th is falling apart. (Stacy will contact Oklahoma City to determine if repair is their responsibility)

b. A fence panel needs to be repaired or replaced in the common area of NW 157th and Creek Heights Dr. (Adam J will investigate what action is needed)

c. Homeowners who provided water for the brick wall repairs will be compensated for their additional water usage. (Mary will contact the three homeowners)

d. The bases of our street signs may need to be painted. (Debbie will notify Mary as to the person who painted the playground equipment last year, Mary will contact him for an estimate)

e. Landscaping bids are needed for 2023. (Barbara will get input from homeowners who expressed an interest in the landscaping, and will then get bids from our current landscape provider, LPs, as well as others on the Lone Oak Network list. The Board will then review the bids at the next meeting and select a provider)

f. The Lone Oak Creek sign is loose at the south side of the entrance. (Adam J looked at it and believes it needs mortar. Mary will contact the brick repair company)

g. The sprinklers will need to be restarted and tested in early March. (Debbie will work with the provider, JMac)

h. Adam Jeppson agreed to serve as the Board’s Vice President (thank you, Adam!)

i. Adam Shahan volunteered to lead events planning, such as an Easter egg hunt, etc.

j. Barbara will take the lead on attending the Lone Oak Network quarterly meetings, with Adam S. as backup. Any Board member is also welcome to attend.

k. Our liability insurance, currently with State Farm, is due for renewal in June. (Debbie will send a copy of the policy to Barbara, who will price alternatives)

l. Gate maintenance and contract was discussed. There are not many companies that provide maintenance, and it is further limited due to the specific equipment we have. (Debbie will look for the original contract and provide a copy to Barbara)

8. Date and time of the next meeting – Monday, March 6th, at 7:00 PM at Mary’s house.
