Lone Oak Creek Homeowners’ Association Minutes
November 6, 2017
1. The meeting was called to order at 7:30 PM.
2. Quorum was certified. Board members present were Lindsi Kerstetter, Debbie Hill, Kevin Howze, Bailey Williams, and Mary Bohn.
3. Minutes from the prior meeting were approved.
4. Treasurer’s Report
a. There are no changes regarding dues paid.
5. Grounds/Facilities Report
a. Fernando
i. A signed contract with Fernando is still outstanding (Kevin)
b. Plan-It
i. Request quote for the following: at common areas, spray weeds between asphalt and concrete; cut down the ornamental grass at the end of Wild Creek Drive. (Kevin – complete)
c. Sprinkler repairs by JMac Installers
i. Now that we have seen the decrease, Debbie will request a one-time credit from the City for water usage. (in progress)
ii. Fix sprinkler head at playground (Debbie - complete)
iii. Turn off all sprinklers except at the front gates (Kevin)
iv. The sprinkler control box at the playground is locked (Debbie will contact JMac)
v. A broken sprinkler head in the Wild Creek common area will wait until spring (Kevin)
d. Fence replacement at the playground
i. Kevin has the invoice and will get it to Debbie for payment (Kevin)
e. Street sign for 159th & Creek Heights, which we have been unable to fix. (Lindsi will forward the Lone Oak Cove contact name to Kevin)
6. Ad Hoc Committee Reports – none
7. Old Business
a. Transition the financials to Quickbooks. (Debbie - in progress)
b. New HOA website:
i. The new web site is up on wix and we expect to announce it to the homeowners in January.
ii. The annual fee for the site is $168 and requires a credit card to make the online payment. Since the Board does not have a credit or debit card, Bailey has offered to pay the fee herself and submit it to Debbie for reimbursement (Bailey)
iii. Set up a new email address (Bailey - complete)
iv. Provide feedback on How-To Guide (Lindsi, Mary)
v. Add meeting minutes to the web site (Mary)
vi. Work on the FAQs (Lindsi)
c. HOA Facebook group: Lindsi has been added as an administrator for the current HOA group, which is not an official HOA Board site.
i. Investigate creating a Facebook “person” which the Board can use when posting information or responses from the Board. This will avoid having an individual’s name associated with the posting. (Lindsi)
8. New Business
a. Bricks have fallen off the wall at the entrance. (Kevin – contact a mason for a quote, Debbie also has a contact)
b. Send a letter to the Swegers regarding the second dead tree (Mary).
9. Date and time of the next meeting – Monday, December 11th, at the Hill home.
a. Dues for 2018 will be discussed.
