The meeting was called to order at 7:02 PM.
Quorum was certified. Board members present were Lindsi Kerstetter, Debbie Hill, and Mary Bohn.
Minutes from the prior meeting were approved.
Treasurer’s Report
Four annual dues remain outstanding (Debbie)
Gate clickers have been deactivated for those with unpaid dues (Amy)
Fernando did not send a bill for this month’s lawn maintenance.
Grounds/Facilities Report
Contract with Fernando
A signed contract with Fernando is still outstanding (Kevin)
Reminders to the landscapers: at common areas, spray weeds between asphalt and concrete; confirm whether sprinkler controls have been checked at the entrance; look at the tree at the entrance that appears to be dead/dying; cut down the ornamental grass at the end of Wild Creek Drive. (Kevin – distribute to the Board the quote from the landscaper Plan-It)
Sprinkler repairs by JMac Installers
Before year-end, JMac will take care of issues needed for winterizing, at about $200. (Debbie - complete)
Water bills have gone down greatly since the sprinkler repairs were completed. Now that we have seen the decrease, Debbie will request a one-time credit from the City for water usage.
Street sign for 159th & Creek Heights, which we have been unable to fix. (Kevin – identify a supplier for the sign and order a new sign)
Ad Hoc Committee Reports – none
Old Business
Transition the financials to Quickbooks. (Debbie will continue with the transition to Quickbooks)
Dirt and vegetation is collecting in the ditch at the end of Wild Creek Drive, between our community and Lone Oak Point, which will eventually cause a drainage issue. Amy opened work order # 632361 with Public Works at 297-3451.
Amy will obtain a copy of the city work order, which was closed stating it was HOA responsibility, and will talk to Beverly in Lone Oak Point.
Based on looking at the plat, we believe that the drainage ditch belongs to Lone Oak Point. We will discuss it with Amy and at the Lone Oak Network meeting.
Investigate a new website for the HOA. (Bailey – have a prototype or shell ready for review at the next meeting)
Playground fence repair – homeowner has complained about loose planks. A fence panel on the common area at the end of Wild Creek also needs to be replaced. Any action is on hold until the Spring of 2018 due to our budget.
Gate repair, due to car hitting the gate (closed – gate has been repaired)
Cracks opening in the streets
Amy - add street crack sealing to the quarterly meeting agenda for the Lone Oak Network meeting.
HOA Facebook group: Lindsi has been added as an administrator for the current HOA group, which is not an official HOA Board site. Lindsi has worked to delete anyone who is not a resident of our community.
Lindsi will investigate creating a Facebook “person” which the Board can use when posting information or responses from the Board. This will avoid having an individual’s name associated with the posting.
Gate codes: the Board will deactivate gate codes for homeowners who have moved out of the neighborhood. The steps to accomplish this are:
Lindsi will copy Amy on closing notifications.
Debbie will include in the letter she mails to new homeowners a notification that they must contact the Board within 10 days of closing to provide their contact information and to get their new gate codes. Note that gate codes must be a 5 digit number less than 6000. We won’t deactivate the existing code during the first few weeks so the new homeowner has time to request and receive a new code, but will deactivate the code if we have not heard from them.
Lindsi will remove the old homeowner from the Facebook group.
Green belt mowing: Tim Smith, owner and developer, said he has no responsibility to mow the greenbelt (Lindsi)
We may eventually need to have our landscaper mow the green belt. We will get an estimate this Fall.
The green belt has been mowed.
Green belt purchase: developer is not interested in selling the green belt to the HOA. Some homeowners are attempting to work with him individually (Lindsi)
