The meeting was called to order at 7:01 PM.
Quorum was certified. Board members present were Lindsi Kerstetter, Amy Johnson, Kevin Howze, Bailey Williams, and Mary Bohn.
Minutes from the prior meeting were approved.
Treasurer’s Report
There is no change on outstanding dues.
Update on deactivating the gate clickers for homeowners who have not paid their dues. Note: The homeowners can still get into their community by entering their code at the gate, but they lose the convenience of the clicker.
Confirm that she is able to deactivate the clickers. (Amy – yes, the clickers can be deactivated free of charge)
Send the current list of homeowners to Amy (and Mary for the non-compliance letters. (Lindsi - complete)
Send an email to all homeowners letting them know of this action. (Lindsi - complete)
The next invoice for dues will include notification to homeowners who owe the full amount that their gate clickers will be deactivated unless they pay by a certain date. (Debbie)
Grounds/Facilities Report
Reminders to the landscapers: at common areas, spray weeds between asphalt and concrete; confirm whether sprinkler controls have been checked at the entrance; look at the tree at the entrance that appears to be dead/dying; cut down the ornamental grass at the end of Wild Creek Drive. (Kevin – request quote from the landscaper Plan-It since these items are not in our contract with them)
Sprinkler repairs - via email, the Board reviewed and approved a quote from JMac Installers (all Board members voted yes except Kevin). The quote addresses the known issues and those identified by the city during their review of our sprinkler systems. Part of the work has been completed. (Debbie)
Kevin made us aware that there is an area behind one or two houses bordering the canal that are not covered by the existing sprinkler zones. No action is planned at this time.
Street sign for 159th & Creek Heights, which we have been unable to fix. (Kevin – identify a supplier for the sign and order a new sign)
Ad Hoc Committee Reports - none
Old Business
Transition the financials to Quickbooks. (Debbie – on hold due to issues with Quickbooks which are being investigated)
There is dirt and vegetation collecting in the ditch at the end of Wild Creek Drive, between our community and the Point, which will eventually cause a drainage issue. Amy called Public Works at 297-3451 and they opened work order # 632361. So far there has been no action by the city. Amy and Lone Oak Pointe, which borders the drainage ditch, will continue to call requesting action on this work order.
Investigate a new website for the HOA. (Bailey – no change)
Contact developer again regarding mowing the green belt behind Wild Creek Drive. There has consistently been no response from the developer. (Lindsi – Tim Smith, developer, said he has no responsibility to mow the greenbelt)
We may eventually need to have our landscaper mow the green belt. We will get an estimate this Fall.
Get a price from the developer for the HOA to buy the green belt. There has consistently been no response from the developer. (Lindsi – developer is not interested in selling the green belt to the HOA. Some homeowners are attempting to work with him individually.)
Playground fence repair – homeowner has complained about loose planks. A fence panel on the common area at the end of Wild Creek also needs to be replaced.
Check if we have money to replace the fence (Lindsi with ask Debbie)
If we have money, ask the homeowner if they will share the cost for the fence 50/50. (Lindsi)
If we have money and homeowner agrees to split the costs, obtain quotes to replace the fence. We should have a prior quote from last year. (Kevin)
Gate repair - due to car hitting the gate. Victor Sobrado of Acme Welding provided an estimate and Amy faxed it to the insurance company, Allstate, on June 27th. Amy call on July 6th and was asked to fax the estimate to a different number. Amy will continue to follow up with Allstate.
Cracks opening in the streets. Lindsi emailed A&B and Rachel is coming out to take a look.
Neighborhood walk-around was done on June 15th. Mary will send non-compliance letters for lawn and flower bed maintenance, and for lots without the required trees (in progress).
New Business
Web domain malware - Debbie received an email and phone call stating there was a malware issue with our web domain. Lindsi will forwarded the email to the Board and Bailey will investigation. Bailey believes it is a scam. (Note: Bailey confirmed within a day that it was a scam)
Gate issue – a homeowner had a problem entering their gate code. PSI said that, once an incorrect code has been entered, there is a 3 minute wait before trying again. At our request, it was changed to 3 incorrect entries before the 3 minute delay.
Pets – a realtor asked if a prospective homeowner could have 4 dogs rather than the maximum of two as stated in the covenants. The Board voted no and Lindsi notified the realtor.
Next meeting – the next meeting will be held Monday, August 7th, at 7:00 PM at the Hill home.
