[endif]Owner sign-in and quorum determination: Quorum for this rescheduled meeting was met with 11 households present at the meeting and 34 proxies, for a total of 45 households represented. Note that we did not have a quorum for the originally scheduled meeting on January 21st.

[if !supportLists]2. [endif]The meeting was called to order at 7:03 by President Lindsi Kerstetter.

[if !supportLists]3. [endif]Introduction of current Board members – Lindsi introduced current board members Kevin Massey, VP and Grounds; Debbie Hill, Treasurer; and Mary Bohn, Secretary.

[if !supportLists]4. [endif]2015 highlights

[if !supportLists]a. [endif]Grounds – our new lawn care company, Scenic Lawn and Landscaping, is providing excellent service.

[if !supportLists]b. [endif]Gates – Kevin discussed recent problems with the phone line and exit gate vehicle loops, which have now been repaired.

[if !supportLists]c. [endif]Street repairs -

[if !supportLists] i. [endif]One strong quote has been obtained, another one or two are needed before a final decision can be made.

[if !supportLists] ii. [endif]Funds have been reserved to pay for repairs.

[if !supportLists] iii. [endif]Our goal is to perform the repairs during the Spring or Summer of 2016.

[if !supportLists]d. [endif]Covenants – Lindsi described the effort required to revise our covenants, for example, to restrict the number of rental homes. We discussed the need to have someone other than a board member lead this effort, if we proceed, due to the amount of work required. Stephanie Lippert volunteered to be the lead, and will start with a survey of our homeowners to determine whether there is sufficient support to proceed. (Thank you, Stephanie!) Notes regarding the requirement are:

[if !supportLists] i. [endif]The percentage of votes for amending the bylaws is 80%. With 97 lots in the neighborhood, we would need 78 votes.

[if !supportLists] ii. [endif]Multiple phases are required to provide information and gather the appropriate documents. This will consist of lots of meetings (some with an attorney) as well as going door to door with a notary.

[if !supportLists] iii. [endif]The cost is primarily attorney fees for filing documents, his time for meetings with the board and homeowners, and behind-the-scenes work.

[if !supportLists]5. [endif]2015 Treasurer’s report – Debbie reviewed the 2015 costs.

[if !supportLists]6. [endif]Owner discussion

[if !supportLists]a. [endif]There was concern expressed regarding the amount of water flowing down NW 158th while the entrance flower beds are being watered. When the sprinklers are turned on again, we will ask Scenic Lawn & Landscaping to check the watering settings and frequency.

[if !supportLists]b. [endif]The sidewalk on Lone Oak Drive needs repair. We should address this at the same time as our street repairs.

[if !supportLists]c. [endif]It was suggested that the Board should contact new home owners with information on our community, web site, etc. One suggestion was a packet which could be sent to the title company for the new homeowner. Pam Costa volunteered to lead this effort. (Thank you, Pam!)

[if !supportLists]d. [endif]The HOA web site needs revision but we have not previously had time to do that. Stephanie Lippert offered to take a look at it. (Thank you again, Stephanie!)

[if !supportLists]e. [endif]To assist homeowners in seeing the Board monthly minutes, it was suggested that the Secretary post a comment to the HOA Facebook page when minutes have been added to the HOA web site, along with a link to the minutes if possible.
